EFFECTIVE EMAIL

OBJECTIVE

Consider this: Your employees are your most prolific source of internal and external communication.

If you add up the amount of email generated by your work force on a daily basis there is just no competition.

This is why we believe that training the people who represent your business in effective mail management is the best investment you can make.

WHY ?

We know that employees consider 1 in 3 emails unnecessary.

We know that professionals take an average of 25 minutes to refocus on a demanding work task after an email interruption.

And we know that each of our co-workers spend an average of 20 hours a week managing mail.

Now what can we conclude from this?

In short: We are actively spending a staggering amount of energy wasting the time of our colleagues and customers. This is bad news for both individuals and organizations.

The good news is that this trend can be remedied.

Email is a great tool. It’s the way we’re using it that is causing trouble. Email has become such an ingrained habit of corporate communication that we no longer actively reflect on what it’s good for. When we do start reflecting we immediately increase the impact of our communication, our productivity and our work satisfaction.

HOW ?

Prioritizing communication channels:

The course will teach employees and leaders the strengths and weaknesses of the different communication channels available to us. The starting point of effective organisational communication is deciding actively when to use a digital platform like email, when to pick up the phone and when to show up in person.

Writing effective email:

We provide advice to make sure that the emails you do write are actually opened, read and acted upon.

If we want to send fewer emails it is essential that we learn how to communicate succinctly and with focus. A part of this session will focus on how to use arguments effectively when we communicate.

Knowing how to compose a solid argument will allow employees to send email with clarity of purpose and ultimately limit the ping-pong email syndrome feared by all organisational communicators.

Using email tools:

If we want to manage mail more effectively we need to know how to use the common professional email tools. Be aware that this course focuses on Outlook functionalities. If you use another email provider in your organisation please let us know in advance.

WHO ?

The course will be tailored to the number of people in your team and their needs.

With smaller groups of up to 10 people the course will be delivered as a workshop during which participants will have time to use rhetorical tools in praxis.

With groups of more than 10 people the course will mainly take the form of a presentation but with interactive sessions to make points and key-messages stick with the audience.

Effective email-management is essential for any modern company. Rhetorical Effects provided valuable and concrete guidance to improve the way we use mail in our daily operations. This course is highly recommended.
